For a cross-border coaching programme, test language, scheduling and feedback as one service. Keep contractual and data-processing requirements explicit instead of relying on a compliance badge.
Define the coaching service
Begin with the experience you sell: individual coaching, a live group programme, self-paced preparation or a combination. Write down what happens before a session, during it and afterwards.
A useful pilot includes a preparation lesson, an appointment, a submitted reflection and coach feedback. Check whether the participant can find the next action without searching through unrelated tools.
Test multilingual work as an editorial process
If the programme runs in multiple languages, assign responsibility for each version. Change an instruction in the source lesson and check how its translations are reviewed. Include reminders, captions and feedback templates, not just navigation labels.
Keep the participant’s chosen language distinct from the coach’s working language. Do not assume automatic translation is suitable for sensitive or specialised feedback.
Put access and data handling in the contract review
List who may read submissions and private coaching feedback. Test participant, coach and administrator roles independently.
Request the service’s processing terms, hosting information, subprocessors and deletion/export procedures. Have the responsible adviser assess them against your programme’s requirements. A European audience does not make a platform automatically compliant, and a marketing page is not a substitute for contractual review.
The European Commission’s guidance for organisations is a starting point for identifying responsibilities, not a substitute for advice on your specific service.
Rehearse scheduling and exit
Move an appointment across the locations you serve and inspect the participant’s reminder. Then test the end of a programme: what remains accessible, what can be exported and who handles a support request after access expires?
Compare provider fees alongside implementation, translation maintenance and the team’s operating time. Confirm supported billing arrangements separately; this checklist does not imply every platform includes each method.
